Performing a draw for each draft

1 - Performing the draw

Once all nominations have been received and input, and necessary age checks have been performed the event draws may be done. Prior to performing the draw please ensure that the following information input when individual events were recorded is correct. Amend these details if necessary. (Check by selecting "Set-Up Menu" and then sub-menu "Events". Click on 'View/Print Report. Make changes from the same window by clicking on relevant event so that event name is highlighted and then selecting event details.)
Check that event type has been recorded correctly.
Check that type of draw has been recorded correctly.
Check that rider separation is set to meet your requirements (please take into consideration the total number of nominations for the relevant draw and allow sufficient margins for multiple entries, and special draw requests).
Check that the "Draw in Entry Order" has been selected if you wish individual competitors' nominations to be drawn in the order in which they have nominated.From the menu "Event Preparation" select sub-menu "Do Draws". You may elect to perform the draw for any individual event by selecting "One Event". You then need to click on the relevant event name so that it is highlighted and then click "OK".
To perform draws for all events select "All Events". Messages may appear during the draw process if there are any problems found in performing this process. Note any messages and the events so that manual adjustments or re-draws can be done for these events.
The most common problem encountered is due to the rider separation being set too high. This separation can be reset for the event and then the event re-drawn. Alternatively, adjustments can be made manually where there may be only 1 or 2 riders with large numbers of horses.

Example: There are 200 entries in an event and the largest number of horses with the same rider is 5. The separation should not be set at 40 (as this allows only 1 positioning of the 5 horses and this is unlikely to be achieved with random draws. Set the number at the minimum separation that you require. In this case 20 would be a more suitable value.


2 - To View the Draw List

From the menu "Event Preparation" select "Preview/Print Draw List Display". Select the relevant event and draw listing may be printed or previewed on screen.


3 - Manual Adjustment of the Draw

Sometimes it may be necessary to modify the draw. To do this, from the menu "Event Preparation" select "Modify Draws". Select the relevant event for which draw is to be adjusted by clicking on the event name so that it is highlighted and then clicking "OK".
Entries may be moved up or down in the draw by positioning the mouse cursor on the button located on the left side of competitor name and then dragging the entry to required position by pressing down on the left mouse button whilst re-positioning the entry.
The draw numbers will automatically renumber in numerical order when you click on "Save".


4 - Checking the draw

Draws should always be checked following any adjustments that you have made to the draw. This will advise if you have accidentally put same rider entries too close, or a special draw request is no longer being complied with. From the "Event Preparation" menu select "Check Draws".
